Job Summary

The Administrative Assistant, under general supervision of the Office Manager is responsible for
the execution of complex administrative, secretarial, and staff support functions while working in
a fast-paced work environment requiring excellent composure and flexibility.

Key Functions and Responsibilities

  • Provide clerical support including matching incoming mail/faxes to claim files
  • Utilize available resources to enable successful tasks performance
  • Responsible for processing Invoices and FAA file request
  • Ordering Office Supplies (conduct a quantity check of office supplies once every two weeks)
  • Distributes mail; maintains and organizes area calendar and schedule
  • File documents, expense reports, and log mail
  • Perform postal runs and pharmacy run requests
  • Aeromedical Services Closure Emails
  • ExpressJet – Team Meeting Agenda
  • Keep Minutes for every team meeting and send email correspondence to staff after each meeting
  • Assist Office Manager with Open Enrollments
  • Assist with special projects upon request by Office Manager
  • Answer calls and route to appropriate area
  • Other duties as assigned

Education and Experience

  • Business degree or equivalent
  • High school diploma with a number of years administrative and supervisory experience
  • Knowledge of accounting, data and administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Knowledge of human resources management practices and procedures
  • Knowledge of business and management principles
